How to Price AMC Contracts Profitably: A Guide for Maintenance Service Businesses

Annual maintenance contracts (AMCs) are the foundation of a healthy service business. They bring predictable revenue, fill your technicians' schedules and keep customers loyal. But an AMC priced too low turns into a loss-maker the moment a unit breaks down.

Here is a practical framework for pricing AMCs profitably.

Step 1: Understand your true cost per visit

For each type of equipment, calculate the cost of one scheduled service visit:

Illustrative example for a split AC service visit:

  • Labour: 1 hour at $12 = $12
  • Travel: $5
  • Consumables: $3
  • Admin and overheads: $6
  • Cost per visit: $26

Step 2: Multiply by visit frequency

How many preventive visits does the contract include? Monthly, quarterly, half-yearly? Four quarterly visits at $26 = $104 per year in scheduled service cost.

Step 3: Add breakdown risk

Customers will call between visits. Use your history to estimate the average number of breakdown calls per unit per year, then add that cost. If the average is 1.5 calls at $30 each, add $45.

Step 4: Price parts coverage carefully

This is where AMCs become risky.

  • Non-comprehensive AMC: labour and visits included; parts charged separately. Lower price, lower risk.
  • Comprehensive AMC: parts included within scope. Higher price, and you must estimate parts costs based on equipment age and failure history.

Step 5: Add your margin

Total annual cost (scheduled visits + breakdowns + expected parts) plus your target margin gives the contract price.

Using the example: $104 + $45 = $149 cost. At a 35% margin, the price is about $229 per unit per year for a non-comprehensive AMC.

Step 6: Adjust for risk and volume

  • Equipment age: older units break more; price higher or require an inspection first.
  • Quantity: offer per-unit discounts for customers with many units, since travel is shared.
  • Location: remote sites cost more to serve.
  • Response time commitments: faster guaranteed response justifies a premium.
  • Operating conditions: equipment in harsh environments needs more service.
